How to Invite Your Bookkeeper

If you own a business in Trio Ledger, you can give your bookkeeper their own access to it. They sign in with their own account, so you never have to share your password.

Only the owner of a business can invite someone, and you stay in control of that access for as long as you want it.

Invite your bookkeeper

  1. Open the business you want to share and click Business access on the Overview page.
  2. Find the Bookkeepers section. If nobody has access yet, it says No bookkeepers have access to this business.
  3. Click Add bookkeeper.
  4. Enter your bookkeeper's Email address.
  5. Click Create invitation.

What happens next?

Trio Ledger creates an Invitation link and shows it to you once. Use Copy link, then send it to your bookkeeper yourself by email, text, or however you normally reach them. Trio Ledger does not send the message for you, and the link is not shown again once you leave the page.

The invitation also appears under Pending invitations marked Pending, so you can see it is still waiting. Invitations are good for 7 days.

When your bookkeeper opens the link, they see an invitation to your business. If they are signed out, or do not have a Trio Ledger account yet, they can sign in or create one and come straight back to the invitation. They then choose Accept invitation or Decline.

Send the link to the same address you typed in. The invitation only works for that email address, so your bookkeeper needs to sign in with it.

Once they accept, your business appears in their Business list and they can start work right away. On your side, the invitation leaves Pending invitations and their email address appears under Bookkeepers.

What can my bookkeeper do?

A bookkeeper works in your books much as you do. They can:

  • Record transactions of every kind, and edit or remove them afterward.
  • Add, rename, and hide accounts.
  • Enter, change, and remove Starting Balances.
  • Open Reports and view the Income Statement and Balance Sheet.

Managing the business itself stays with you. Only the owner can rename the business, open Business access, and invite, remove, or revoke anyone. Your bookkeeper never sees the Business access page.

A bookkeeper only has access to the businesses they have been invited to. Inviting someone to one business does not give them access to any other business you own.

Removing a bookkeeper

Open Business access, find the person under Bookkeepers, and click Remove. Trio Ledger asks you to confirm, and their access ends immediately.

Removing someone removes their access and nothing else. Your business, your transactions, and your reports all stay exactly as they were, including the work that person did.

To call back an invitation that has not been accepted yet, find it under Pending invitations and click Revoke. The link stops working right away.

Is it free for my bookkeeper?

Yes. Trio Ledger is free for bookkeepers too. There are no plans, tiers, or subscriptions.
